Draft proposals and replies with AI

What AI drafting does

Catertoo's AI tools give you a starting draft grounded in your own menu and event details, and nothing reaches a client until you send it yourself. Drafted line items are added straight onto the proposal, with no separate save click, and limited to your own active menu by the tool itself, so it can never invent an item or a price there. Drafted notes and replies land in a normal editable field for you to save or send, and are free text: the AI is only instructed not to invent facts there, not structurally prevented from it, so give those two a read before sending just as you would your own writing.

Draft line items from your menu

1. Open a proposal that's still a Draft and find the line items section (the tool only appears while the proposal is a draft).
2. Describe the event in the box, for example "wedding, 120 guests, plated dinner and passed apps." Clicking Draft with an empty box does nothing.
3. Click Draft line items with AI.
4. Catertoo reads the event's guest count and chooses items from your own active menu, adding them to the proposal at their real menu price. This needs at least one active menu item to work from.

You'll see a confirmation such as "Added 4 line item(s) from the menu." From there, edit quantities, remove anything that doesn't fit, or add more lines by hand exactly as you would normally.

Draft a cover note

1. Open the proposal for editing and find the Notes field.
2. Click Draft with AI. You can optionally add an instruction, for example "emphasize dietary options."
3. Catertoo writes a short cover note grounded in the event's title, date, guest count, venue, and the items already on the proposal (never prices).
4. Review the draft, edit it as you like, and click Save. If Notes already has text, Catertoo checks before replacing it.

Get a reply drafted for you

On a message thread with a client, for example from the Client, Event, Invoice, or Proposal page, click Suggest reply. Catertoo drafts a reply based on the conversation so far and the event's details, and drops it into the reply box with a note that it's an AI draft to review before sending. Edit it, then click Send reply when you're happy with it. Nothing is sent automatically.

Monthly allowance

Every plan includes a monthly allowance for AI drafts. Line items, notes, and reply suggestions are each tracked separately, so using up one doesn't use up another. A Premium plan includes 4x Pro's AI allowance. If your business reaches a tool's limit for the month, Catertoo lets you know right there and the allowance resets the following month. Settings → Plan & Billing (owner-only) shows which plan your business is on; it doesn't list the numeric caps. For the notes tool specifically, a count such as "3 of 50 AI drafts used this month" appears under the button once you've drafted at least once.
