The AI receptionist

Share one link and let Catertoo's AI receptionist chat with prospects, then turn the conversation into a qualified lead automatically.

Open Leads and find the Your inquiry link card. It shows a unique web address for your business (something like pay.catertoo.com/inquire/...). Click Copy link and share it anywhere a prospect might find you: your website, a social profile, or an email signature.

What a prospect sees

When someone opens your inquiry link, they land on a simple page with a chat window. The AI receptionist introduces itself and asks a few questions over the conversation, such as the type of event, the date, the guest count, and how to reach the prospect. If a prospect's browser can't run the chat (JavaScript disabled), they see a plain form instead: name, email, phone, and one message field to describe the event in their own words. Either way, Catertoo pulls the event type, date, and guest count out of what the prospect wrote.

What happens next

As soon as the receptionist has enough information, Catertoo automatically creates a lead from the conversation and notifies you, both in the app and by email (the email depends on your own notification setting, and is never sent for a demo account). You don't have to do anything to receive it: the new lead shows up in your Pipeline exactly like one you would add by hand, tagged with the AI receptionist as its source.

To read the full back-and-forth behind any lead, use the Conversations view on the Leads page. Every chat the receptionist has ever had is logged there, so you can see exactly what a prospect asked for before you follow up.

Monthly allowance

Every plan includes a monthly allowance for the AI receptionist, and every message a prospect sends counts against it, not just the conversations that end in a lead. Paid plans get more than Free, and a Premium plan includes 4x Pro's AI allowance.

Once your business has used its allowance for the month, the prospect's next message gets a reply letting them know their request has been passed to your team, and the conversation ends there. Catertoo still creates a lead from what they typed, but this one arrives titled "Website inquiry," with just their message in the notes; it won't carry a name, email, or phone even if the prospect had already given one earlier in the chat. Check that lead's chat in the Conversations view for anything they gave you before the allowance ran out. Keep an eye on your pipeline for leads like this so you can follow up directly.
